First Login

After accepting your invitation and verifying your identity, you'll land on a Success page with links to Polyguard's different interfaces. This page explains where to go next — into the meeting apps where you'll create and manage meetings, and into the Console for settings and records.


Polyguard works inside the meeting platforms you already use. From the Success page (or anytime from the Polyguard Mobile app), choose the platform where you'll schedule and conduct meetings.

Open Polyguard in Outlook

  1. Click Open Polyguard in Outlook from the Success page (or navigate to Outlook directly).
  2. Open Microsoft Outlook — either the desktop app or outlook.office.com in your browser.
  3. Navigate to your Calendar.
  4. When creating or editing a calendar event, look for the Polyguard button in the toolbar or the Polyguard side pane in the add-ins area.

You'll use Outlook to schedule Polyguard-protected meetings. The actual meeting will take place in Zoom or Teams.

  1. Click Open Polyguard in Teams from the Success page.
  2. Open Microsoft Teams — either the desktop app or teams.microsoft.com in your browser.
  3. Find the Polyguard tab in the left sidebar. If you don't see it, click ... (More apps) and search for Polyguard.

  1. The first time you open Polyguard in Teams, you'll be prompted to Link Your Identity. Scan the Polyguard QR code with the Polyguard Mobile app — hold your camera steady for about 5 seconds while the QR code rapidly changes. This Presence Check uses optical distance bounding to verify you're physically present at your device.

After linking, each day you'll see a quick Refresh Identity prompt (another 5-second Presence Check scan). This keeps a cached Polyguard token in your Teams client so you can quickly join Polyguard-protected meetings without verifying again.

From here you can create meetings, view past meetings, and manage your Polyguard settings within Teams.

Open Polyguard in Zoom

  1. Click Open Polyguard in Zoom from the Success page.
  2. Open the Zoom app — either the desktop app or zoom.us in your browser.
  3. Look for the Polyguard panel in the Meetings view. If you don't see it, click Apps in the toolbar and search for Polyguard.

  1. The first time you open Polyguard in Zoom, you'll be prompted to Link Your Identity. Log In to the Polyguard Console

The Polyguard Console at console.polyguard.ai is where you access meeting records, download compliance reports, and manage settings. It is not used for creating meetings — you do that in Outlook, Teams, or Zoom.

Polyguard uses a passwordless login. Instead of typing a password, you scan a QR code with the Polyguard Mobile app.

  1. Open your web browser and go to console.polyguard.ai.
  2. The login screen will display a QR code.

  3. Open the Polyguard Mobile app on your smartphone.

  4. Tap the Scan button (or the QR code icon) in the app.
  5. Point your phone's camera at the QR code on your screen. Hold steady for about 5 seconds while the QR code rapidly changes — this Presence Check verifies you're physically present at your device.
  6. The console will load automatically in your browser.

Keep the app handy

You'll use the Polyguard Mobile app each time you log in to the Console. Keep it installed on your phone for quick access.


Troubleshooting

QR code won't scan

  • Move closer to the screen. Make sure the QR code fills most of your phone's camera frame.
  • Check your lighting. Screen glare can make the QR code hard to read. Tilt your screen or reduce ambient light.
  • Refresh the page. The QR code expires after a few minutes. Reload the page to generate a fresh one.
  • Allow camera access. Make sure the Polyguard Mobile app has permission to use your phone's camera (check your phone's Settings > Apps > Polyguard Mobile).

App doesn't show the scan button

  • Update the app. Make sure you're running the latest version of Polyguard Mobile from the App Store or Google Play Store.
  • Complete identity verification first. The scan feature may not appear until your identity has been verified. Go back to Accept Invite & Setup if you haven't completed that step.

Login approved on phone but console doesn't load

  • Check your internet connection. Both your phone and computer need to be online.
  • Try a different browser. Polyguard Console works best in Chrome, Edge, Firefox, or Safari.
  • Clear your browser cache and try again.
