Create a Meeting

Polyguard integrates directly with your meeting platform — Outlook, Microsoft Teams, or Zoom — so you can add identity verification to any interview without changing your workflow.

This page walks you through creating a Polyguard-protected meeting on each platform. Select the tab that matches the platform you use.


Create a Polyguard-Protected Meeting

Schedule a meeting from Outlook

  1. Open Microsoft Outlook (desktop app or outlook.office.com) and navigate to your Calendar.
  2. Click New Event to create a new calendar event.
  3. Fill in your meeting details (title, date, time, attendees) as you normally would.
  4. In the event editor, look for the Polyguard button in the toolbar, or open the Polyguard side pane from the add-ins area.

  5. In the Polyguard pane:

    • Select whether the meeting will take place in Teams or Zoom.
    • Edit the meeting title if needed.
    • Configure required identity proofs — select which verification types participants must complete before joining.
  6. Click Save (or Send) to create the event.

  7. Polyguard adds a secure meeting link to the calendar event body automatically.

Works with existing calendar events

Open any existing calendar event, activate the Polyguard pane, and toggle protection on. It's that simple.

Turn off ordinary meeting links

Make sure you do not have a regular Teams or Zoom meeting link already attached to the event. An ordinary meeting link would conflict with the Polyguard secure link and allow participants to bypass identity verification.

Create a meeting in Microsoft Teams

  1. Open Microsoft Teams — either the desktop app or teams.microsoft.com in your browser.
  2. Click the Polyguard tab in the left sidebar. If you don't see it, click the ... (More apps) button and search for Polyguard.

  3. In the Polyguard tab, navigate to Meetings.

  4. Click New Secure Meeting.
  5. Set your meeting details:
    • Meeting title — Give the meeting a descriptive name (e.g., "Interview — Jane Smith, Software Engineer").
    • Date and time — Choose when the meeting will take place.
    • Required identity proofs — Select which verification types participants must complete before joining.
  6. Click Create Meeting.

  7. Polyguard generates a secure meeting link. Copy it to share with participants.

Add Polyguard to an existing Teams meeting

Open an existing meeting, click + to add a tab, and search for Polyguard to enable protection on meetings you've already scheduled.

Create a meeting in Zoom

  1. Open the Zoom app — either the desktop app or zoom.us in your browser.
  2. Click Meetings in the left sidebar.
  3. Look for the Polyguard panel on the right side of the Meetings view. If you don't see it, click Apps in the toolbar and search for Polyguard.

  4. In the Polyguard panel, click New Secure Meeting.

  5. Set your meeting details:
    • Meeting title — Give the meeting a descriptive name (e.g., "Interview — Jane Smith, Software Engineer").
    • Date and time — Choose when the meeting will take place.
    • Required identity proofs — Select which verification types participants must complete before joining.
  6. Click Create Meeting.

  7. Polyguard generates a secure meeting link. You'll see it in the Polyguard panel and can copy it to share with participants.

Existing Zoom meetings

You can also add Polyguard protection to a meeting you've already scheduled. Open the meeting in Zoom, then use the Polyguard panel to enable protection.


Meeting Settings

Regardless of which platform you use, you can configure these settings when creating a Polyguard-protected meeting:

Setting Description
Required identity proofs Choose which proofs participants must complete (e.g., Face Biometric, High Certainty, Phone Number). You decide on a per-meeting basis. See Identity Credentials & Proofs for details.
Enable End-to-End Encryption When enabled, meeting content is encrypted end-to-end. The Polyguard sidebar is not visible during encrypted meetings, but identity verification still takes place before participants can join.

Choosing proof requirements

Start with Face Biometric — it's always included with any document credential. Add High Certainty if you're interviewing candidates in different countries or want the strongest assurance. See Identity Credentials & Proofs for details on each proof type.
